Configure your cPanel email account in Gmail

This guide explains how to connect your cPanel‑hosted email account to Gmail using Check mail from other accounts (POP3) and Send mail as (SMTP). These settings allow Gmail to receive and send email on behalf of your cPanel hosted email account.

Prerequisites

Before starting, ensure you have:

  1. Your full email address (e.g. you@yourdomain.com.au)
  2. Your email account password
  3. Your mail hostname (found in the IMPORTANT: Hosting Documentation email or in cPanel, under Email Accounts >> Connect Devices)
  4. Login access to your Gmail account

Recommended Server Settings

Use the following connection details for cPanel‑hosted email:

Incoming Mail (POP3 or IMAP)

Incoming Server: mail.yourdomain.com.au (update with your custom domain)

Username: Your full email address

Password: Your email account password

POP3 Port: 995 (SSL/TLS)

IMAP Port: 993 (SSL/TLS)

Recommended for Gmail: POP3 connection with "Leave a copy of retrieved messages on the server" enabled

Outgoing Mail (SMTP)

Outgoing Server: mail.yourdomain.com.au

SMTP Port: 465 (SSL/TLS) or 587 (STARTTLS)

Authentication Required: Yes (use full email address + password)

Add Your cPanel Email to Gmail (Incoming Mail via POP3)

  1. Open Gmail and click the gear icon → See all settings.
  2. Go to Accounts and Import.
  3. Under Check mail from other accounts, click Add a mail account.
  4. Enter your full email address and click Next.
  5. Select Import emails from my other account (POP3) → Next.
  6. When prompted for server details, enter:
    Username: Your full email address
    Password: Your email password
    POP Server: mail.yourdomain.com.au
    Port: 995
    Always use a secure connection (SSL) → ✓ Checked
    Leave a copy of retrieved messages on the server → ✓ Recommended
    Label incoming messages → Optional
    Archive incoming messages → Not recommended
    Select Add Account.

This completes Gmail fetching email from your cPanel inbox.

Configure Gmail to Send Email As Your cPanel Address (SMTP)

After completing the POP setup, Gmail will ask if you want to send mail as this address. If not, you can add it manually.

  1. In Gmail, go to Settings → Accounts and Import.
  2. Under Send mail as, click Add another email address.
  3. Enter your name and your full email address.
  4. Uncheck “Treat as an alias” if this mailbox is shared; otherwise leave it checked.
  5. Click Next Step.
  6. Enter the SMTP server details:
    SMTP Server: mail.yourdomain.com.au
    Port: 465 (SSL) or 587 (STARTTLS)
    Username: Your full email address
    Password: Your email account password
    Secure connection: Choose:
    SSL if using port 465, or
    TLS if using port 587.
    Select Add Account.

Gmail will send a verification code to your cPanel email address. Open the code (it will arrive via POP or via Webmail) and enter it to complete setup.

Optional: Access Email via Webmail

You can always access your inbox directly through cPanel’s Webmail:

Visit: https://webmail.yourdomain.com.au/

Log in using your full email address and password.

Troubleshooting

Authentication failed

Ensure you are using the full email address as the username.

Ensure your password is correct (try logging into Webmail to confirm).

SSL errors when adding the account

Make sure your domain has a valid SSL certificate by visiting the SSL/TLS Status function in cPanel.

Confirm the mail server hostname matches the SSL certificate (e.g. mail.yourdomain.com.au).

Cannot send mail (SMTP)

Try switching between ports 465 and 587.

Ensure SMTP authentication is enabled (username + password required).
